The Problem We Solved

Every real estate team we've spoken to has the same problem: leads come in from Zillow, their website, social media ads, and open houses. Then they sit. Sometimes for hours. Sometimes for days. By the time an agent follows up, the lead has already talked to three other agents.

What We Built

The system we designed operates as a four-stage pipeline: capture, qualify, respond, and route.

When a new lead submits a form, whether through a website, a landing page, or a Facebook lead ad, the system captures it instantly and passes it through an AI qualification layer. Claude reads the lead's responses, including budget, timeline, property preferences, and how they found the business, then assigns a score from 1 to 10 based on buying intent.

Leads scoring 7 or above are flagged as hot. Within two minutes of submission, they receive a personalized follow-up email that references their specific answers. Not a template. An email that reads like a human wrote it with their exact situation in mind.

At the same time, the system logs every lead in a tracking sheet and sends a notification to the sales team. Hot leads get flagged for immediate follow-up. Lower-scoring leads enter a nurture sequence that runs automatically over the following two weeks.

What We Learned

The most surprising finding was how much could be accomplished at zero cost. Every tool in this system has a free tier that handles 50-100 leads per month. The AI qualification layer costs fractions of a cent per lead.

The second insight was about personalization. We compared generic template responses against AI-personalized ones that referenced each lead's specific answers.
